Executive Assistant to the CEO(s) – Entry Level

Position Summary
The Executive Assistant provides administrative and coordination support to the CEO(s) and executive leadership team in a fast-growing urgent care organization. This is an excellent opportunity for someone early in their career to gain exposure to executive operations, healthcare leadership, and multi-clinic coordination.
This role focuses on organization, scheduling, communication, and helping keep leadership priorities on track. The ideal candidate is detail-oriented, dependable, professional, and eager to learn.

Administrative Support
  • Assist with managing executive calendars, scheduling meetings, and coordinating appointments
  • Help organize daily priorities and ensure meetings are prepared in advance
  • Draft basic emails, memos, and internal communications
  • Organize and maintain digital files, documents, and reports
Meeting & Coordination Support
  • Schedule leadership meetings and send calendar invites
  • Prepare meeting materials and assist with note-taking when needed
  • Help track follow-ups and action items from leadership meetings
Operational Assistance
  • Help coordinate travel arrangements, clinic visits, and leadership events
  • Support communication between executive leadership and departments (HR, Operations, Clinics, Finance)
  • Assist with special projects and administrative tasks as assigned
Front-Line Executive Support
  • Answer and route incoming communications professionally
  • Help prioritize requests and ensure timely responses
  • Provide general administrative support to keep day-to-day operations running smoothly
Education & Experience
  • Associate’s or Bachelor’s degree preferred (Business, Healthcare Admin, Communications, or related field)
  • 0–3 years of administrative, coordinator, or office support experience
  • Internship or healthcare experience is a plus but not required
Skills
  • Strong organization and time-management skills
  • Professional communication skills (written and verbal)
  • Comfortable using Microsoft Office/Google Workspace
  • Ability to handle multiple tasks and shifting priorities
