The Senior Manager, Facilities is responsible for the day-to-day maintenance and repair of our locations, public health and physical safety activities, contract management, vendor management and oversight of the build-out of new locations.  This role is located in the Chicagoland and Northwest Indiana markets and requires significant time spent on-site at our various clinic locations. 

The successful candidate will be responsible for the following:

  • Facilities Oversight: Manage daily operations and maintenance of all MEC facilities, ensuring consistent quality, safety, and compliance with clinical and regulatory standards. 
  • Work Order Management: Supervise internal and external work order systems; ensure timely and accurate tracking, escalation, and completion of service requests across all sites. 
  • Team Leadership: Supervise, support, and develop a team of 3 maintenance technicians. Provide guidance, evaluate performance, and support hiring and onboarding as needed. 
  • Contractor & Vendor Coordination: Oversee external contractors and vendors for maintenance services, repairs, and inspections. Ensure quality work and timely communication of issues to leadership. 
  • Preventative Maintenance: Develop and maintain a preventive maintenance calendar. Schedule and track all routine services to extend the life of building systems and reduce reactive repairs. 
  • Compliance & Safety: Ensure all sites maintain current certifications and pass required inspections. Monitor fire, life safety, and health-related systems, coordinating with appropriate vendors. 
  • Emergency Response: Act as the 24/7 emergency contact for facility-related issues. Coordinate response efforts and communicate incidents to leadership in real-time. 
  • Capital Planning & Budgeting: Identify long-term facility needs and assist in developing a multi-year capital plan. Analyze maintenance spending trends to recommend cost-saving or corrective actions. 
  • Stakeholder Communication: Regularly report facility updates, maintenance trends, and open issues to operational leadership. Serve as the liaison to landlords and property managers. 
  • Procurement & Inventory: Maintain adequate inventory of cleaning supplies and building materials. Provide input on bids and RFPs for service providers and supplies. 
  • Weather Preparedness: Coordinate snow removal, storm preparedness, and seasonal maintenance plans for all impacted locations. 
  • Other Duties: Perform related responsibilities and special projects as assigned. 


Education, Experience, and Systems Requirements:

  • Bachelor’s degree required  
  • 5+ years of experience in facilities management, preferably in healthcare or multi-site environments 
  • Strong leadership and project management skills 
  • Strong vendor management and contract negotiation skills  
  • Experience with work order software and vendor coordination 
  • Understanding of building systems, preventative maintenance, safety standards, and compliance requirements 
  • Ability to travel regularly across clinic locations in Illinois and Indiana 
  • Must be accessible after hours for emergency response 
  • Excellent communication, organization, and problem-solving skills 
Physical Requirements: 
  • Prolonged periods standing and walking. 
  • Must be able to lift up to 50 pounds at a time. 
  • Ability to climb, push, pull, bend, and reach, as needed to perform essential job activities.
